About Course

At KW Pivot, we offer two distinct levels of service to our landlords. Understanding the boundary between them is key to managing landlord expectations and your workload.

  • Procurement Mandates (Find & Place): Your responsibility is focused on the “front end.” You market the property, perform rigorous tenant vetting, and facilitate the signing of the lease and the initial move-in. Once the tenant is placed, the relationship reverts to the landlord.

  • Management Mandates: This is a comprehensive, ongoing service. You are the primary point of contact for the duration of the lease—overseeing rent collection, managing maintenance requests, and conducting regular inspections to ensure the landlord’s investment is protected.

The Mandate: Your Professional Contract

The mandate is the most important document in your file. It is the legal agreement that authorizes KW Pivot to act on behalf of the landlord. We will cover:

  • How to correctly complete a mandate to ensure it is legally binding.

  • Ensuring the agreed-upon commission or management fees are clearly documented.

  • The difference in liability between the two mandate types.

The Procurement Process: High-Standard Placement

A successful rental starts with a “Triple-A” tenant. We will walk through the KW Pivot procurement workflow to ensure consistency and excellence:

  • Vetting: Utilizing tools like TPN and ITC to verify creditworthiness.

  • Compliance: Ensuring all FICA documentation is in order before a keys-over.

  • The Ingoing Inspection: Why this step is non-negotiable for protecting the landlord’s deposit and your reputation.

Master Your Craft

By the end of this module, you will have the confidence to explain our value proposition to any landlord and the technical knowledge to execute both procurement and management tasks flawlessly.

Management Mandate
A Management Mandate is a long-term service agreement where the landlord appoints KW Pivot to act as the ongoing intermediary between themselves and the tenant. Unlike a procurement, this mandate places the day-to-day running of the investment in your hands for the entire duration of the lease. Key responsibilities typically include: Financial Oversight: Collecting monthly rent, issuing invoices, and recovering utility costs. Maintenance Coordination: Acting as the first point of contact for repairs and managing contractors to maintain the property's value. Inspections: Conducting regular interim inspections to ensure the tenant is complying with the lease terms. Conflict Resolution: Managing tenant disputes, late payments, and legal notices (like Letter of Demands) should breaches occur. The Bottom Line: For the landlord, it offers "hands-off" peace of mind; for the agent, it builds a consistent, monthly recurring commission stream.

Procurement Mandate
A Procurement Mandate is a short-term service agreement focused exclusively on the sourcing and vetting of a tenant. Once the lease is signed and the initial payments are made, the agent hands the file back to the landlord. Sourcing & Marketing: Advertising the property to attract high-quality applicants. Rigorous Vetting: Performing comprehensive credit checks (TPN/ITC), employment verifications, and reference checks. Lease Execution: Facilitating the signing of a legally compliant lease agreement and ensuring the first month’s rent and deposit are secured. Administrative Handover: Delivering the vetted tenant’s details and signed lease to the landlord, who then conducts their own ingoing inspection and manages the day-to-day tenancy. The Bottom Line: This is a high-speed service that secures a significant upfront commission for the agent upon successful placement.
